Instagram Automation for Wedding Planners: Budget to Booked Call
Wedding and event planners: reply to 'budget?' comments with a portfolio and a short qualifying flow, then book a call without quoting blind.
Wedding and event planners sell something nobody can try first. Couples (and their parents) decide based on your portfolio, your reels and how you make them feel in the first conversation. Instagram is where that starts: a reel of a mandap at an Udaipur palace or a haldi setup in Goa, and the comments say “budget?”, “how much for 300 guests?”, “do you do Jaipur weddings?”, “available Feb 2027?”.
The answer to almost all of these is “it depends” — which is exactly why Instagram automation for wedding planners should be designed to start the conversation well, not to finish it.
What a planner's automation is really for
Three jobs, in order:
- Reply instantly so the couple doesn't move on to the next planner's reel.
- Show more of your work — the full portfolio, not just the one reel.
- Book a call with enough context that your first conversation is useful.
Everything else — quotes, venues, vendor choices, family dynamics — belongs to you and your team.
Answering “budget?” without a number you'll regret
Quoting a fixed price in an automated DM rarely works for weddings: a 150-guest intimate wedding in Lonavala and a 600-guest destination wedding in Jodhpur are different projects. But ignoring the question feels evasive. The honest middle ground is a range plus what it depends on:
“Hi! Thank you for loving this one 💐 Our planning and décor packages usually depend on guest count, city, number of functions and venue. To give you a realistic range, can you tell us a little more?”
Then two button questions:
- “Guest count?” — Under 150 / 150–400 / 400+.
- “When is the wedding?” — Within 6 months / 6–12 months / Not fixed yet.
Followed by: “Share your number and our planner will call you with a budget range and ideas for your dates.” The phone number is saved with their Instagram username in your Leads list. If you do have starting packages (for example, a décor-only package for a mehendi), it's fine to say “décor packages start from ₹[amount]” — as long as it's a real number you honour.
Set up per-reel and catch-all automations
- Per reel: each showcase reel — a sangeet stage, a destination wedding, a corporate gala — gets its own comment automation, with a DM that links to that type of event in your portfolio. Trigger on any comment, or on keywords like budget, price, details, available.
- All posts: one general automation for everything else, sending your full portfolio and the call-booking flow.
When both exist, the reel's own automation answers, and nobody gets two DMs. Smart Matching catches “what is your budget for this” and “kitna kharcha aayega” when you add those words. The mechanics are in comment-to-DM automation.
Make the portfolio do the selling
Your DM's main link should be a well-organised portfolio — a website gallery, a Google Drive folder or a highlights reel — sorted by event type and city. Couples planning a Rajasthan wedding want to see Rajasthan weddings. Track Your Links shows how many people opened the portfolio from each automation, which tells you which kinds of events are pulling interest this season.
Public replies that suit a premium brand
Wedding comments are emotional — “this is my dream wedding 😍”. A public reply like “Check DM!!” under every comment can cheapen the feed. Write a few warm variations instead:
- “So glad you love it 💛 We've sent you a few more setups in DM.”
- “Thank you! Shared the details with you privately ✨”
- “Means a lot 🙏 Check your messages for our portfolio.”
Reel and story ideas for planners
- “Same venue, two budgets” — shows how décor choices change a look.
- A 30-second timeline of a wedding day from the planner's side → comment PLAN.
- “Questions to ask before booking a destination venue” → comment LIST for the checklist.
- Stories during wedding season: “We have two dates left in December — reply DATE” with a story reply automation.
Only show real events you planned, with your clients' permission — couples will ask for references.
First DM: “Hi, are you available on…”
Many enquiries come straight to DMs. A first-DM automation can thank them and offer three buttons: “See our work”, “Get a budget range”, “Book a call”. Set it to “first message only” — once you're planning a couple's wedding, they'll message you constantly, and they should never see that menu again.
Where automation should stay out
- Date availability. Only you know your calendar — never auto-confirm a date.
- Quotes and negotiation. Every proposal is custom.
- Active clients. Once someone signs, they talk to their planner directly.
- Complaints or disputes after an event. Handle privately and personally.
- Vendor and collaboration requests from photographers and decorators.
The shared inbox keeps the original comment, the button answers and the DMs together, so whoever calls the couple already knows the guest count and timeline.
Safe, official, permission-based
Automation through the official Instagram API only messages people who commented or messaged you first, and a business can send one private reply per comment within 7 days. No cold DMs, no scraping, and never your password. More in our safety guide, and see DM lead generation for more on qualifying enquiries.
