Instagram Automation for Restaurants and Cafés: Menu to Table

Send your menu, location, Zomato and Swiggy links and table requests automatically from Instagram comments and DMs, while complaints stay with staff.

October 29, 2026 6 min read

A food blogger posts your butter chicken, or your own reel of a cheese-pull pizza gets shared around Koramangala, and suddenly your Instagram is full of “menu?”, “location pls”, “Swiggy pe hai?”, “table for 8 on Saturday?”. It's 8:30 PM, the kitchen is slammed, and the manager is seating guests. Instagram can wait — except those people are deciding where to eat tonight.

Instagram automation for restaurants answers those messages in seconds with the menu, the map and the ordering links, so your staff can focus on the people actually sitting in the restaurant.

A restaurant's Instagram questions are wonderfully repetitive

Unlike a clinic or a wedding planner, almost everything a restaurant gets asked has one right answer:

  • Menu and price range
  • Location, parking, opening hours
  • “Do you deliver?” — your Zomato and Swiggy links
  • Veg/Jain options, “alcohol serve karte ho?”
  • Today's offer, happy hours, live music night

That makes restaurants one of the easiest businesses to automate well.

The one automation every restaurant needs

Create a single “All posts” comment automation that triggers on menu, price, location, address, order and delivery. Smart Matching handles “where is this place”, “menu bhejo” and “whats the price for two”. Then make the DM a small menu of its own, using buttons:

“Hi! Thanks for the love 🍕 What would you like?”
  • 📖 Menu → a link to your menu PDF or page, plus “approx ₹800 for two”.
  • 📍 Location & timings → Google Maps link, hours, parking note.
  • 🛵 Order online → your Zomato and Swiggy links (and your own ordering link if you have one).
  • 🪑 Book a table → reservation link or a request for their phone number.

Each button leads to the next message, so the person picks what they need instead of reading a wall of text. The general mechanics are in comment-to-DM automation.

Dish reels get their own automation

When you post a reel of a specific dish — the new Korean bun, the thali, the Sunday biryani — give that reel its own automation with the dish's price and a direct order link. The reel's own automation answers first; the general one covers every other post. No one gets two DMs, and no one has to hunt through a 12-page menu for the thing they saw.

Reservations: automate the request, not the confirmation

This is the most important line in this guide. Your automation can collect a table request, but it cannot see how full your Saturday is. So never write “Your table is confirmed!” in an automated DM. Instead:

  1. “How many people and which day?” — buttons for 2, 4, 6+ guests.
  2. “Share your phone number and we'll call or WhatsApp to confirm your table.”

The number is saved in your Leads list. Whoever handles bookings confirms in person. For large groups, birthdays and kitty parties, that call is also where you sell the set menu or the cake.

Offers, happy hours and events

  • Happy hours reel — caption “Comment CHEERS for the happy-hours menu” with a dedicated automation.
  • Live music Friday — a story with “Reply GIG for the line-up” and a story reply automation.
  • Festive specials — the Navratri thali, Christmas brunch. Switch the automation off the day the offer ends.

If you add links to the DMs, Track Your Links shows how many clicks each one got — handy for knowing whether people tap “Order online” more than “Book a table”.

First DM: the “hi, are you open?” message

Lots of people DM a restaurant without commenting. A first-DM automation with the same four buttons handles them. Set it to “once per 24h” so a regular who messages about tonight's booking doesn't keep getting the menu.

Never automate these

  • Food complaints. “Found a hair in my biryani” or “delivery was cold” — reply personally, apologise, fix it. A cheerful auto-reply under a complaint is a disaster in public.
  • Allergy questions. “Is the gravy nut-free?” must be answered by someone who has checked with the kitchen.
  • Refunds for Zomato/Swiggy orders — point them to the platform, but have a person do it kindly.
  • Collaboration requests from bloggers — those are relationships, not tickets.

Make sure your keywords don't catch complaints by accident. A rule on “order” could fire on “my order was wrong”, so check the shared inbox daily, where comments and DMs sit together. Troubleshooting help is in DM automation not working.

Rules worth knowing

On the official Instagram API, automation only messages people who commented on your post or messaged you first; a business can send one private reply per comment within 7 days. No cold DMs, no password sharing. See Instagram DM automation safety.
